01Should you see your own staff-only details?
DecideFound while testing the new app as a non-staff member: your own Total Funding, Honours, and Angel Cheque Size show up on your own profile, even though you're not staff. Other members never see these on anyone else's profile — and only staff can see them on other members' profiles. It's not a bug; it's how it was originally built. But worth confirming it's actually what you want.
Keep as-is Recommended
You can always see your own data, including the parts staff use internally (Honours, for example, is used for Gala place names) — just never anyone else's.
Make fully staff-only
Hide these three fields from everyone except staff, even from the member they belong to.
Ask: should a member be able to see their own Honours / Total Funding / Angel Cheque Size, or should these be invisible to everyone but staff, full stop?
02What happens to the old "Alternative Emails" data?
DecideSome existing Mailchimp contacts have historical data sitting in an old "Alternative Emails" field, from before the new system's email-history tracking existed. The new tracking works differently and doesn't currently pull anything in from that old field.
Ask: is it worth the effort to migrate that old data into the new tracking, or is it fine to just leave it where it is (or retire the old field) since the new system handles this going forward regardless?
03How should returning applicants be reconnected?
DecideWhen someone who applied before — and maybe didn't proceed, or was declined — applies again later, should we try to reconnect them to their old application history? You suggested matching by name as a starting point a while back, which is a reasonable first pass, but worth flagging directly: name-matching alone can occasionally mismatch two different people who happen to share a common name.
Ask: how confident do we need to be before treating a new application as "this is the same person returning," versus simply treating it as a fresh applicant? Would a staff member confirming a suggested match before it's linked be the right level of caution?
04New "Declined" lead status — want an automatic email?
FYIAs part of the new Leads Review Tool, a "Declined" option was added to Mailchimp's Lead Stage dropdown (alongside the existing First Interaction / Completed Application / Payment Link Sent / On Hold / Converted / Closed), so staff can decline an application from inside ChimpLink with one click. Right now, declining is silent — nothing gets emailed to the applicant, it just quietly drops off the review list. It's also fully reversible: if that person reapplies later, they're automatically pulled back into the review list with no extra step.
Ask: is silent enough for now, or would you like an automatic "thanks, but not right now" email to go out on decline — the same way the existing payment-link email already fires automatically off the Lead Stage change?
